Guidance for Presenters on Hybrid Panels 

Please note: all conference timings are British Summer Time (GMT+1).  

Hybrid panels must set up a Zoom meeting for their panel ahead of the conference, and ensure this is shared with all panelists presenting remotely. We advise that the zoom link be set up by the original submitter/organiser of panel or, only in the case of a panel assembled by the Program Committee, the chair.  

The panel will need to bring one laptop to run the Zoom meeting, which can be connected to an HDMI point. The HDMI link will stream the Zoom meeting through the internal IT system, allowing the image to appear on a large screen and the audio to be heard through built-in speakers.  

There will be roving microphones in all presenting rooms, to allow questions to be heard by the panel, including remote presenters. 

Where possible, we advise panels to arrive ten minutes early to their room to initiate log-in and tech set-up prior to the session.  

There will be two Tech Assistants present throughout the conference, one in Woodland Road and one in Priory Road. If you experience technical issues, in the first instance please find one of the student workers (who are familiar with the IT system); if issues persist, the student worker will locate the Tech Assistant.  

The hybrid nature of the conference is perhaps its biggest challenge. Please be patient with panels and colleagues experiencing technical difficulties. This is a learning process for the whole of the ESEH, not just us at Bristol. We hope that by facilitating hybrid participation, we can continue to make the conference an inclusive place to share ideas.  

The university Wi-Fi for visitors is provided through Eduroam and through UoB Guest. Eduroam connection is automatic. UoB Guest connection details can be found here.
